Recommended Thunderbird Settings and Mailbox Maintenance

If you are experiencing intermittent email connection resets, slow message retrieval, or issues when replying to email threads, the following client-side recommendations may help improve Thunderbird's IMAP performance.

1. Review Thunderbird IMAP Timeout and Synchronization Settings

For affected users, review Thunderbird's IMAP connection and synchronization settings.

Recommended actions:

  • Increase the IMAP/server connection timeout if Thunderbird is disconnecting while retrieving messages.

  • Enable Offline/Synchronization selectively, particularly for folders that need to be available offline.

  • Avoid automatically downloading very large messages when they are not required.

In Thunderbird, you may also review the advanced timeout settings:

  • mail.server.default.timeout

  • mailnews.tcptimeout

These settings can help reduce connection resets that occur when Thunderbird takes longer than expected to retrieve messages from the mail server.

Note: Advanced Thunderbird settings should only be modified carefully. If you are unsure about the appropriate values, please contact your IT administrator or technical support team.


2. Reduce Large Mailbox and Folder Sizes

Large mailboxes and IMAP folders can increase the time required for Thunderbird to synchronize and retrieve messages.

For example, the affected alex mailbox is approximately 1.9 GB.

We recommend:

  • Archive older emails that are no longer frequently accessed.

  • Move old messages to Thunderbird's Local Folders if server-side access is no longer required.

  • Delete unnecessary emails and empty the Trash/Deleted Items folder.

  • Consider implementing server-side archiving where appropriate.

  • Avoid keeping unnecessarily large numbers of messages in a single IMAP folder.

Reducing mailbox and folder sizes can improve synchronization and reduce the likelihood of timeout or connection-reset issues.


3. Check Reply-All and Email Threading

If the issue involves Reply-All, missing recipients, or messages not appearing correctly within an existing email thread, review the affected user's Thunderbird configuration.

Check:

  • The correct email identity is selected.

  • The correct From address is being used.

  • Thunderbird's Composition & Addressing settings are correct.

  • Threaded view is enabled if the user wants related messages grouped together.

As a troubleshooting step, send a test Reply-All to an existing conversation and verify that:

  • All intended recipients are included.

  • The reply is sent from the correct email account.

  • The message appears correctly within the existing conversation/thread.


4. Verify Thunderbird IMAP Account Settings

For each affected user, confirm that the Thunderbird account is configured with the correct mail server settings.

Recommended IMAP Settings

Incoming Mail (IMAP)

  • Protocol: IMAP

  • Port: 993

  • Connection Security: SSL/TLS

  • Authentication: Use the account's configured authentication method

  • Username: Full email address

Also verify that the account is connecting to the correct mail server/hostname provided for your hosting service.

Incorrect server settings, ports, or account credentials can result in connection failures, repeated password prompts, or synchronization problems.


5. Recommended Troubleshooting Order

If the issue continues, we recommend troubleshooting in the following order:

  1. Confirm the correct IMAP server and port.

  2. Confirm the user's email address and password.

  3. Increase the Thunderbird connection timeout if connection resets occur during message retrieval.

  4. Review synchronization/offline settings.

  5. Reduce the size of large mailboxes and IMAP folders.

  6. Test sending, receiving, Reply, and Reply-All.

  7. Test the account using webmail to determine whether the issue is specific to Thunderbird or also occurs at the server/mailbox level.

Important

If the same issue occurs in webmail and Thunderbird, the problem may not be limited to the Thunderbird application and may require further server-side or mailbox-level investigation.

If the issue occurs only in Thunderbird, the Thunderbird configuration, local mail profile, synchronization database, or local mailbox cache may require further troubleshooting.
